10 Tips for Hosting a Successful Outdoor Event

Sarah Jenkins June 15, 2026

Planning an outdoor festival or market? Here are the top 10 things you need to know to make sure everything goes smoothly.

Outdoor events are incredible when the weather holds up, but they require a unique set of planning skills compared to indoor venues. Here are our top tips for ensuring your next outdoor event is a massive success:

1. Always Have a Plan B

The weather is the one thing you can never truly control. Whether it's sudden rain or extreme heat, you must have a backup plan. This could mean renting large tents, having an indoor alternative venue on standby, or simply having a clear communication plan if the event needs to be rescheduled.

2. Permits and Permissions

Outdoor spaces often require specific permits from local councils. Noise ordinances, food serving permits, and alcohol licenses are just the tip of the iceberg. Start this process months in advance.

3. Prioritize Attendee Comfort

If it's going to be hot, ensure there is plenty of shade and hydration stations. If it might get chilly, consider outdoor heaters. Don't forget about bug repellent and adequate seating!

4. Lighting is Crucial

If your event extends into the evening, lighting is not just for ambiance—it's for safety. Ensure all walkways, exits, and restroom areas are brightly lit.

5. Waste Management

Outdoor events can generate a lot of trash. Have a solid waste management plan with plenty of clearly marked recycling and garbage bins scattered throughout the venue.
